HR ADMINISTRATOR
The HR Administrator is responsible for supporting the day-to-day operations of the Human Resources department, ensuring that HR processes are managed efficiently, accurately, and confidentially.
This office-based role involves maintaining employee records, assisting with recruitment, and onboarding, coordinating training and employee documentation, supporting payroll and benefits administration, and ensuring compliance with company policies and employment legislation.
The HR Administrator will serve as a key point of contact for employees on HR-related matters, providing professional administrative support while contributing to a positive and well-organised workplace.

WHAT YOUR NEXT JOB WILL BE ABOUT
- • Supporting the day-to-day administration of the Human Resources department.
- • Maintaining accurate and confidential employee records and HR documentation.
- • Assisting with recruitment activities, including posting vacancies, screening applications, scheduling interviews, and coordinating the hiring process.
- • Managing employee onboarding and offboarding processes, ensuring all required documentation is completed.
- • Manage employee engagement while coordinating with Identity Malta on all employment-related procedures, handling the end-to-end process for Third-Country Nationals (TCNs), including work permit applications, renewals, and compliance documentation.
- • Supporting payroll administration by maintaining employee records, leave information, and other payroll-related data.
- • Assisting with the administration of employee benefits, leave, and attendance records.
- • Coordinating employee training, development activities, and performance review documentation.
- • Preparing employment contracts, letters, reports, and other HR-related documentation.
- • Responding to employee queries and providing administrative support on HR policies and procedures.
- • Ensuring compliance with employment legislation, company policies, and data protection requirements.
- • Supporting HR projects and initiatives aimed at improving employee engagement and organisational effectiveness.
WHAT YOU SHOULD BRING
- • Previous experience in an HR administration or office administration role, with a good understanding of HR processes and procedures.
- • A qualification in Human Resources, Business Administration, or a related field is considered an advantage.
- • Experience supporting recruitment, onboarding, employee records management, and HR documentation.
- • Knowledge of employment practices, HR policies, Employment laws and confidentiality requirements.
- • Strong organisational and time management skills, with the ability to manage multiple priorities and deadlines.
- • Excellent attention to detail and accuracy when handling employee information and documentation.
- • Good knowledge of Microsoft Office applications, particularly Word, Excel, and Outlook; experience with HR systems is an advantage.
- • Strong written and verbal communication skills, with a professional and approachable manner.
- • Ability to handle sensitive and confidential information with discretion.
- • A proactive, reliable, and solutions-focused approach to work.
- • Ability to work independently while also contributing effectively as part of a team.
- • Strong interpersonal skills with the ability to build positive working relationships with employees and management.
